The Aviation Museum is looking for a new volunteer bookkeeper who is responsible for maintaining accurate day-to-day financial records, managing accounts payable and receivable, and preparing essential financial reports. This role ensures financial transparency and regulatory compliance, typically collaborating closely with the Executive Director or Board Treasurer.
Key Responsibilities
- Transaction Processing: Record and categorize daily financial transactions, including donations, grants, and operational expenses, into the accounting system.
- Reconciliation: Reconcile bank and credit card statements monthly to ensure zero discrepancies.
- Accounts Payable & Receivable: Process incoming vendor invoices, issue expense reimbursements, track pledges, and handle outgoing payments.
- Financial Reporting: Generate monthly and quarterly reports (e.g., Statements of Activity, Balance Sheets) for internal analysis and board review.
- Grant & Donor Tracking: Allocate restricted funds correctly and track grant spending to meet donor expectations and compliance standards.
- Audit Preparation: Maintain organized physical and digital records (invoices, receipts, payroll) to assist external accountants during year-end audits.
Qualifications & Requirements
- Experience: 1–3 years of bookkeeping or accounting experience, ideally in the nonprofit sector.
- Software Skills: Proficiency in accounting software (e.g., QuickBooks) and Microsoft Excel.
- Nonprofit Knowledge: Familiarity with fund accounting, restricted vs. unrestricted funds, and nonprofit tax/regulatory compliance.
- Soft Skills: Exceptional attention to detail, a high level of integrity regarding sensitive financial data, and strong organizational skills.
Time Commitment & Expectations
- Time Commitment: Typically ranges from 5 to 15 hours per week, depending on the size and complexity of the nonprofit.
